Under the general direction of the Patient Service Manager and in cooperation with all staff members of the Apheresis/Transfusion Service, the Clinical Apheresis Associate (CAA) performs customer relations, communications, administrative, and coordinative functions to fully support patient care activities. The overriding responsibility is to integrate this role into the patient care model to ensure that the patient care team works for the good of the patient; other specific tasks may be added or deleted from the day-to-day occupationalization of this position, as the patient care team adapts to the daily needs of the patients we serve.

This includes providing service excellence by creating a great First Impression demonstrating exemplary customer service skills for all customer groups including patients, families/friends, physicians, staff and support department personnel.

1. In a pleasant, courteous, and professional manner performs reception and communication duties to ensure all patient, visitor, and staff needs in support of patient care division are met.

1.1 Answers telephone within three rings, identifying care division and self.

2. Receives, distributes, processes, files, and otherwise appropriately maintains all patients' medical records and forms relating to medical status and care maintaining strict confidentiality at all times.

2.1 Stamps all new forms via addressograph (blue plate), assembles paperwork, and otherwise prepares packets of patient forms for new patients.

3. Maintains inventory, picks up pharmacy orders, and transports blood products for the Apheresis Service.

3.1 Takes inventory and orders storeroom supplies via the PDAD system. Puts away supplies as time allows and assists PSM with ordering of outside supplies.

4. Performs administrative support activities to ensure patient billing and financial issues are managed in an appropriate and timely manner.

4.1 Checks in patients at entry and end of service ensuring that all patient demographics and insurance information are correct.

5. Performs miscellaneous duties to ensure complete customer satisfaction, administrative, and clerical support to patient care and patient/customer satisfaction. In addition to the Hospital Standards on Customer Relations, balances compassion and empathy, exhibits exceptional professionalism and customer relations skills with particular sensitivity to the varying needs and communication styles of our culturally diverse patient, visitor, and employee population.

5.1 Performs other administrative and customer relations-oriented tasks as needed to ensure patient care, customer relations, and hospital procedural needs are met (i.e., picking up and distributing paychecks, etc.)

Qualifications

EDUCATION

High school graduate. Associate degree preferred.

EXPERIENCE

Two (2) to three (3) years experience in a hospital setting.

PHYSICAL DEMAND

Physical Requirements include occasional lifting of 25 pounds, transportation of patients. Working knowledge of computer systems and medical terminology. Excellent attention to detail is a must. Must be able to perform multiple tasks and have the ability to prioritize. Flexibility in scheduling will be required.
