The EPIC Application Analysts are the primary support contacts for each Epic application. (The list of Specific EPIC modules is located at the end of this description.) The Applications Analyst is responsible for coordinating all issues that arise during the project for their application areas and must be very knowledgeable about the organization's policies, procedures, and business operations. The Applications Analyst is responsible for configuring, testing, implementing and supporting Epic for the delivery of patient care and other supporting functions of the organization.
ESSENTIAL FUNCTIONS FOR ALL LEVELS OF EPIC APPLICATIONS ANALYST:
• Acting as the primary support contact for the application's end‐users
• Identifying issues that arise in their application area as well as issues that impact other application teams and working to resolve them
• Guiding workflow design, building and testing the system, and analyzing other technical issues associated with Epic software
• Identifying and implementing requested changes to the system
• Serving as a liaison between end users' workflow needs and Epic implementation staff
• Maintaining regular communication with Epic representatives, including participating in weekly project team meetings
• Works with Epic representatives, the organization's business community, and end users to ensure the system meets the organization's business needs with respect to the project deliverables and timeline
• Developing an understanding of operational needs to set the direction for the organization's workflows by attending site visits, validation sessions, and other integrated sessions
• Participating in training and working with end users
• Troubleshooting problems and questions
• Reviewing the status of projects and issues on an ongoing basis with leadership
• Holding weekly communications with team members to discuss the status of deliverables, shared issues, end‐user concerns, budget, and upcoming milestones
• Maintains service level agreements in the management of IT Service Management incident and request tickets, including ample notes and documentation within tickets
• Clinical Care: Ensure that quality patient care is delivered to all patients on a 24-hour basis, and the unit is maintained in accordance with professional and regulatory standards and the philosophy and goals of Hoag.
• Position may require local travel between various locations.
• Position requires participation in a 24/7 department. Position may require participating in meetings outside of normal business hours and/or alternate shifts including occasional evenings and/or weekends.

APPLICATIONS ANALYST I
• Collaborates with key stakeholders, end users and other members of the business, patient care and Information Technology teams to optimize system configuration, function and access.
• Evaluates problem tickets and service requests, customer requests for system changes, data retrieval requests, system performance problems and optimization opportunities, and participate in the timely resolution of these activities.
• Works together with clinical and business advisory groups to provide system solutions that support and enhance the adoption of the electronic medical record and its supporting components.
• Assures the Information Technology (IT) needs support the goals and objectives of the customer as well as the business needs of Hoag.
• Addresses system concerns for the end-users.
• Responsible for the build and maintenance of various system dictionaries, profiles, tables and other configuration points.
• Ability to create basic reports using reporting tools
• Troubleshoots and resolves application errors and other system issues.
• Identifies system enhancement requests and works with the team to communicate them to the vendor.
• Tests the system, including any configurations, customizations and new releases, prior to production implementation.
• Works with end-users and the reporting team to assist with the design and testing of system reports.
• Communicates system changes to the end users and training staff.
• Participates as a team member in various projects, including those lead by the PMO.
• Prepares for and participates in system design, validation and/or remediation sessions.
• Utilized as a resource by other groups within the department, outside of their primary Subject Matter Expertise (SME) area. Can effectively participate on cross-functional teams
APPLICATIONS ANALYST II
• In addition to the Analyst I duties the Analyst II also does the following.
• Actively leads and takes ownership for the build and maintenance of system dictionaries, profiles, tables and other configuration points.
• Ability to create moderately complex reports using reporting tools
• Troubleshoots and resolves highly complex application errors and other system issues
• Responsible for addressing a high volume of system-related activities in a timely fashion while consistently maintaining a high level of quality and customer satisfaction.
• Leads small to medium-sized projects.
• Understands data flow to/from other systems and works with the Application Integration team to help resolve data integration issues.
• Understands application communication flow to/from other systems and works with IT Technology team to help resolve application communication issues.
• Manages system concerns for the end-users.
EDUCATION, TRAINING AND EXPERIENCE
REQUIRED:
For all levels Education: High School or equivalent All levels of EPIC Applications Analysts are required to have specific EPIC Module knowledge in the EPIC Application area they are assigned to. The Specific EPIC Modules are briefly described at the end of this document.
APPLICATIONS ANALYST I:
Minimum of one (1) years' experience and/or training with healthcare information systems and terminology.
APPLICATIONS ANALYST II:
Minimum of three (3) years' experience with the application, module or equivalent system as assigned Advanced knowledge of the assigned EPIC application in at least one functional area (e.g. orders, materials management, etc.) Ability to assist junior staff with completion of assigned tasks.
PREFERRED:
This applies to all levels of Applications Analyst: Bachelor's Degree in Computer Science, Information Systems or equivalent experience in a related field. Two (2) or more years' experience with the application, module or equivalent system as assigned Two (2) or more years' experience working in a Health Care Application Services department, preferably within an acute care environment
SKILLS OR OTHER QUALIFICATIONS
REQUIRED:
APPLICATIONS ANALYST I AND II
• Excellent communication skills; customer focused; excellent attention to detail; able to prioritize tasks and meet deadlines; strong interpersonal skills; able to work in a team environment.
• Proficient with Microsoft office tools, including Word, Excel, PowerPoint, Visio, and Project
• Experience with report building tools
PREFERRED:
Advanced experience with Microsoft office tools, including Word, Excel, PowerPoint and Visio.
LICENSE AND CERTIFICATIONS
REQUIRED:
• Epic training and certification in the assigned application area is required. Certification includes completing application certification projects and tests. A list of the Specific EPIC Modules is outlined at the end of this document.

Other certification with the application(s) within their area of responsibility and support
