JOB SUMMARY:Under general supervision, responsible for the EPIC System build, ongoing maintenance, system support, testing & training. Participates fully in the EPIC project team. The Application Analysts will become the key subject matter experts and act as the liaisons between clinics and the project team. The Application Analyst level I, II, or III will be determined based on experience, education, and qualifications.

ESSENTIAL DUTIES & RESPONSIBILITIES FOR ALL LEVELS:The duties listed below are intended only as illustrations of the various types of work that may be performed. EPIC SYSTEM BUILD

*Responsible for core system build and on-going maintenance *Identify, troubleshoot, and work proactively to resolve system issues *Document system setup *Participate in system design process *Work with Clinic Informaticists to document current clinic workflows *Work with all levels of system users to determine system setup needs and modifications *Participate in upgrades and special updates *Work closely with Epic technical staff and implementers to resolve application issues *Perform system maintenance tasks such as system imports/loads, basic reporting, and system configuration *Ability to create basic reports using reporting tools and database queries *Complete and maintain current Epic Certification(s)

TESTING AND QUALITY ASSURANCE

*Thoroughly test all build prior to migration to Production environment *Participate in regular change control meetings and adhere to change control guidelines when migrating build items *Develop and utilize testing plans and scripts *Ensure changes are communicated to team and impacted system users in a timely manner

TRAINING

*Work closely with trainers on all changes and new features *Participate as needed in training and working with end users *Participate in regular clinic meetings as needed to improve user knowledge of the Epic system *Cross-train with other team members to ensure seamless support

USER SUPPORT

*Provide customer service to all staff (internal and external) to support/troubleshoot application problems *Foster an understanding of operational needs through site visits, validation sessions, and other integrated sessions *Troubleshooting and documentation of system issues *Participate in on-call rotation *Maintains service level agreements in the management of incident and request tickets, including timely notes and documentation within tickets *Meet or exceed customer service standards

PROJECT MANAGEMENT

*Ability to document key tasks and milestones associated with new functionality *Ability to set and manage to timelines *Ability to prioritize and communicate potential barriers to success *Communicate with team members and leadership to discuss the status of deliverables, shared issues, end‐user concerns, budget, and upcoming milestones *Basic understanding of project management tools

INTEGRATED JOB FUNCTIONS

*Act as a resource by other groups within the department, outside of their primary Subject Matter Expertise (SME) area *Effectively participate on cross-functional teams *Performs all duties in a manner which promotes and supports the core values of Hoag Clinics *Demonstrated ability to follow written and oral instructions as well as complete routine tasks independently *Ensures confidentiality of patient information following HIPAA guidelines

ANALYST II DUTIES AND RESPONSIBILITIES: In addition to the essential duties and responsibilities for all levels, the Analyst II will:

*Possess knowledge of end-to-end clinical workflows *Actively lead and take ownership for the build and maintenance items *Create moderately complex reports using reporting tools and database queries *Troubleshoot and resolve highly complex application errors and other system issues *Address a high volume of system-related activities in a timely fashion while consistently maintaining a high level of quality and customer satisfaction *Lead small to medium-sized projects *Understands data integration with other systems and works with the Integration team to help resolve data integration issues *Address system concerns for the end-users

ANALYST III DUTIES AND RESPONSIBILITIES: In addition to the essential duties and responsibilities for all levels and Analyst II level, the Analyst III will:

*Serve as a resource and participate in the development of fellow team members *Possess broad knowledge of end-to-end clinical workflows *Create complex reports using reporting tools and database queries *Understand the differences of inpatient and outpatient settings *Advanced understanding of how Epic impacts or is impacted by other systems throughout the overall Hoag application architecture *Functional knowledge of interfaces such as HL7, FHIR, and web APIs and works directly with the Integration team to resolve complex data integration issues *Represent Clinical needs in a complex multi departmental setting and offer focused solutions that take all angles into consideration *Lead and coordinate the build and maintenance of highly complex system build and configuration *Independently resolve complex, multi-function application errors and system issues *Manage system enhancement requests directly with the vendor and various IT Technical teams *Facilitates system design, validation, and remediation sessions *Lead large projects and function as a subject matter expert on complex, cross-functional projects

EDUCATION

*High School or equivalent *EPIC Ambulatory Certification at the time of or within 6 months of hire

EXPERIENCE

*Analyst I - Minimum of one (1) years' experience and/or training with healthcare information systems and terminology *EpicCare Ambulatory Certification at the time of or within 6 months of hire *Analyst II - Minimum of three (3) years' experience with the application, module or equivalent system as assigned. Advanced knowledge of the assigned EPIC application in at least one functional area. Ability to assist junior staff with completion of assigned tasks. *Analyst III - Minimum five (5) years' experience with the application, module or equivalent system as assigned. Advanced knowledge of the assigned EPIC application in multiple functional areas. Expert knowledge of the assigned application in at least one functional area. Ability to mentor junior application analysts

SKILLS AND ABILITIES

*Must be courteous, responsive, timely, respectful, thorough and detail oriented *Possesses excellent oral and written communication and problem-solving skills *Has good time management skills and a demonstrated ability to prioritize tasks *Proficiency with Microsoft office tools, including Word, Excel, PowerPoint, Visio, and Project *Ability to work with all levels of staff to determine clinic needs and best practices *Ability to keep professional demeanor in stressful circumstances *Ability to work independently and in team environments *Hoag requires all new hires and employees to report their COVID-19 vaccination status

ADDITIONAL SKILLS AND ABILITIES - ANALYST III

*Possesses logical structured thinking abilities and can develop sound business cases to support planning and critical decision making *Advanced presentation and facilitation skills *Strong ability to document processes and cross-train team members

EDUCATION

*Bachelor's Degree or equivalent experience in a related field *Clinical degree (i.e., RN, Pharm D, MA etc.) *Multiple Epic certifications/badges applicable to Ambulatory clinic support

EXPERIENCE

*Minimum of one (1) years' experience and in a clinic setting *Analyst II - Minimum of three (3) years' experience in a clinic setting *Analyst III - Minimum five (5) years' experience in a clinic setting

SKILLS AND ABILITIES

*Experience with data query tools *Advanced experience with Microsoft office tools, including Word, Excel, PowerPoint and Visio
